Fix the handoff that keeps falling through

A conventional rule or integration may be enough when the input is predictable. AI can be useful when a request needs interpretation, such as finding several details in an email or preparing a draft from approved records. Choose the approach that fits the task.

Describe what “finished” means

  1. Capture the inquiry. Identify the request and collect the details the next person needs.
  2. Check for gaps. Missing information stays visible rather than being guessed.
  3. Prepare the next action. Route the request or draft a response within the agreed permissions.
  4. Keep approval where it belongs. Pricing changes, unusual promises, and exceptions go to an authorized person.
  5. Track follow-through. Give the task an owner and a clear completion state.

A visit to the confirmation page is not treated as proof of payment: the server verifies successful payment before the registration is confirmed and notifications are sent.

This is a deployed example of business automation. It does not require a language model at every step. Other workflows may combine deterministic rules with a narrowly scoped AI task.

Measure useful capacity, not just activity

Track time to completion, missed follow-ups, corrections, and the review work that remains. Include maintenance and exception handling in the comparison. Then decide what the team should do with any recovered capacity.

More time can support better productivity and follow-through, which may contribute to downstream revenue. Revenue still depends on demand, pricing, delivery, and the work people choose to do; it is not an automatic result of adding an agent.

Bring one process to the table

Show where the task starts, which tools and records it touches, where it waits, and who can approve the outcome. Confirm the software connections, data boundaries, failure handling, ownership, and ongoing support in the proposed scope.
